Estimates and quotes

An estimate template with clear scope

An estimate sets expectations before work begins. Itemize what is included, price each part and give the offer a date it stands until. Here is an example built the way the quote editor works.

Free editing and partial preview. Full PDFs and saved records require $4.99/month Pro.

An itemized example

Illustrative estimate: brand photography for a small bakery
Scope itemQtyPriceAmount
Half-day on-location shoot1$650.00$650.00
Edited, colour-corrected images40$12.00$480.00
Location walk-through (hours)2$70.00$140.00
Estimated total$1,270.00

1 × $650 + 40 × $12 + 2 × $70 = $1,270.00. Itemizing per image makes it clear how a revised image count would change the estimate.

Valid until: give the offer a shelf life

Quotes in Prints.ink include a Valid until date in place of an invoice's due date. Choose a window that matches how quickly your costs or availability change. Thirty days is common for services, shorter if you are holding a booking date.

After that date, you can revisit the price before agreeing to the work. When the job is done, create an invoice separately in the invoice editor.

Estimate, quote or invoice?

Estimate

An informed approximation of cost. Useful when scope may shift, such as hours that depend on revisions.

Quote

Usually a firmer price for a defined scope, often with a validity date. Many people use the words interchangeably.

Invoice

A request for payment for work delivered or agreed, with a due date.

These are general descriptions, not legal definitions. Whether a document is binding depends on your agreement and local law.

Writing scope and notes

  1. 1

    Name deliverables, not effort

Write "40 edited images" rather than "editing", so the client knows what arrives.

  2. 2

    Say what is not included

Use notes for exclusions such as travel beyond a set distance or extra revision rounds.

  3. 3

    Keep assumptions visible

If price depends on the client supplying copy or access, write it down.

  4. 4

    Match the invoice later

Reuse the same line descriptions on the invoice so the two documents line up.
